Convert bank statements to Xero, QuickBooks & Sage

Upload a bank statement PDF and DocumePro returns an import-ready Excel or CSV file for Xero, QuickBooks or Sage — every transaction, date and balance mapped to the columns each package expects. DocumePro is a UK document workstation for accountants, bookkeepers and finance teams; every uploaded file is deleted within 1 hour.

Why bank statement imports fail

Every accounting package wants a slightly different shape of data. Xero's Manual Statement Import expects Date, Amount, Payee, Description, Reference and Cheque Number in that order with DD/MM/YYYY dates. QuickBooks Online wants a three or four column CSV with a single signed amount. Sage wants its own reference column. A raw PDF matches none of them, which is why most bookkeepers end up retyping or fighting the mapping wizard.

DocumePro reads the transaction table inside the statement — date, description, money in, money out, running balance — and writes it out in the exact structure your package accepts, so the import works first time and the closing balance still reconciles to the penny against the original PDF.

How do I convert a bank statement for my accounting software?

Download the statement as a PDF from online banking (not a screenshot), upload it to the converter, choose Excel or CSV, and import the result. Nothing is installed and no account is needed for the first file. Password-protected statements must be opened and re-saved without the password first, because a locked PDF cannot be parsed.

For year-end and UK Self Assessment work you can batch 12–24 months of statements at once on the paid tiers, which is usually the difference between an afternoon of retyping and a five-minute job.

Which UK banks and formats are covered?

Barclays, HSBC, Lloyds, NatWest, Santander, Nationwide, TSB, Halifax, Co-operative, Metro, Monzo, Starling, Revolut, Tide and Chase UK are all supported, along with most US, EU and APAC layouts. Payment codes (DD, SO, FPI, FPO, BP, CHQ, ATM) are preserved as a Type column so Xero and QuickBooks bank rules can match recurring items automatically.

Frequently asked questions

How do I import a bank statement into Xero?
Download the statement PDF from online banking, convert it here, then use Xero's Manual Statement Import (Accounting → Bank accounts → Manage account → Import a statement). The output already uses Xero's Date, Amount, Payee, Description, Reference column order with DD/MM/YYYY dates, so the wizard accepts it without remapping.
Can I convert a bank statement PDF for QuickBooks?
Yes. Convert the PDF here and upload the resulting CSV in QuickBooks under Transactions → Bank transactions → Upload from file. Dates, description and a single signed amount column are produced in the layout QuickBooks Online expects.
Does this work with Sage 50 and Sage Business Cloud?
Yes. The Sage variant outputs the date, reference, description and amount columns Sage's bank feed import expects, with UK date formatting and no thousands separators.
Which UK banks are supported?
Barclays, HSBC, Lloyds, NatWest, Santander, Nationwide, TSB, Halifax, Co-operative, Metro, Monzo, Starling, Revolut, Tide and Chase UK, plus most international layouts. Each bank's quirks — split money in/out columns, wrapped references, two-line descriptions — are normalised automatically.
Is it safe to upload a client bank statement?
Files are uploaded over TLS, processed on UK/EU infrastructure and permanently deleted within 60 minutes under our Non-Persistence Guarantee. No human reads them and nothing is used to train AI models.
Do I need to install anything?
No. Conversion runs in your browser session against our UK/EU processing servers — there is no desktop install, no Adobe licence and no signup for your first file.
